Outlook Search Not Working? Fix!

It is incredibly frustrating when you need an important email and the search bar just spins or gives you nothing. This usually happens because your search index is corrupted or the local data file has become disconnected from your mailbox.

Why this happens

Outlook search relies on a local index that can get corrupted during updates or crashes. When this file is damaged, Outlook can no longer track your messages, requiring a fresh build or a reset of your local data.

Steps

  1. 01
First, check for pending updates by typing 'update' in your Windows search bar and selecting 'Check for updates'. Let any pending installations complete and restart your computer to ensure you have the latest Microsoft patches.
  2. 02
To rebuild your search index, search for 'Indexing Options' in the Start menu. Click 'Advanced', then select the 'Rebuild' button to clear and recreate your search database.
  3. 03
If that fails, close Outlook completely by opening 'Task Manager', finding 'Outlook', and selecting 'End Task'.
  4. 04
Press 'Windows Key + R', type '%localappdata%/Microsoft/Outlook' into the box, and press Enter.
  5. 05
Locate the data file ending in '.ost' that matches your email address, right-click it, and rename it by adding '.old' to the end. When you relaunch Outlook, it will automatically create a fresh, uncorrupted data file and begin syncing your mail again.

Still not working?

If you are still seeing search errors, verify if you are using a POP3 account, which handles indexing differently than Exchange. If you are on an older version of Classic Outlook that is reaching its end of life, consider migrating to the New Outlook app, which uses a more robust, server-based search engine that avoids these local file corruptions.

Frequently asked questions

Will renaming my Outlook data file delete my emails?

No. Renaming the file just forces Outlook to create a new copy and download your data from the server again, ensuring your local cache is clean.

Why does my Outlook search keep breaking?

Frequent corruption usually points to an undersized local drive or a very large mailbox that is constantly syncing, which can interrupt the indexer during intense usage.
